RecordFlow is a productivity tool that automatically saves every Zoom cloud recording to Google Drive within minutes of a meeting ending — no manual downloads, no forgotten files, and no paying for extra Zoom storage.
What is RecordFlow?
RecordFlow is a Zoom-to-Google Drive integration that copies cloud recordings (video, audio, transcript, chat log) to a folder in your personal or shared Drive as soon as each meeting finishes. You sign in with your existing Zoom and Google accounts (OAuth 2.0, no passwords stored), pick a destination folder, and new recordings stream through RecordFlow’s servers without being stored permanently. The product is built by RecordFlow and is available on both the Zoom App Marketplace and the Google Workspace Marketplace.
Key Features
- Automatic sync — New recordings land in Google Drive within about 5 minutes of a meeting ending, triggered by Zoom webhooks.
- Auto-delete from Zoom — Once a recording is safely in Drive, RecordFlow can delete it from Zoom (on a safe delay) to free up your 5 GB Zoom Pro storage.
- Reliable large-file handling — Chunked transfers, automatic retries (up to 2 per job), and an hourly safety net prevent failures on hour-long meetings.
- Email notifications — You receive an email with a direct link to each meeting’s folder when the recording is ready in Drive.
- AI Companion support (early access) — Archives AI Companion transcripts as Google Docs and meeting summaries as Markdown and Google Docs, even when no cloud recording exists.
- Shared Drive support — Archive to any personal or shared Google Drive; admins can point at one root folder with automatic sub-folders per member.
- Smart deduplication — Re-running sync is safe; duplicate recordings are not created.
Who is it for?
- Coaches, therapists, and consultants who record multiple client sessions per week and need each recording delivered to Google Drive as a permanent deliverable.
- Professors and education teams who record lectures and want students to have lasting access in Drive without relying on Zoom storage alone.
- IT and operations admins responsible for an entire Zoom account — install the admin app once, opt members in, and all selected members’ recordings land in a single Drive folder you control.
What can you do with RecordFlow?
- Archive your own recordings: Connect your personal Zoom and Google accounts, pick a Drive folder, and every future recording appears automatically — no manual steps.
- Manage team recordings as an admin: Install the admin app, select members, and all their cloud recordings sync into one root Drive folder with sub-folders created automatically.
- Free up Zoom storage: Enable auto-delete after a safe delay so you never hit Zoom’s 5 GB Pro limit and block new recordings.
How does RecordFlow work?
- Sign in with your Zoom account (as a user or admin) and connect your Google Drive.
- Pick a personal or shared Drive folder. Admins set one root folder; member sub-folders are created automatically.
- New cloud recordings are streamed to Drive within minutes of each meeting ending, triggered by Zoom webhooks. A hourly safety net catches any missed transfers.
Pricing
RecordFlow is free during beta for both the user and admin apps. No credit card required. Early users will lock in founding member pricing when paid tiers launch — you’ll be notified before any changes.
FAQ
Is my data secure?
RecordFlow uses secure sign-in through Zoom and Google — it never sees or stores your passwords. Recordings are streamed through its servers in small pieces and uploaded to your Drive; nothing is permanently stored on RecordFlow’s side. All data is encrypted in transit and at rest.
