What is Onthen?
Onthen is a customer onboarding platform that replaces email chains and manual chasing with a single, branded task page. It takes an email address and an onboarding template (generated from a description, chosen from a library, or built in the editor) and produces a shareable checklist page where customers complete tasks like filling forms, uploading documents, taking photos, or booking meetings. The platform runs as a web app and integrates directly with HubSpot, Calendly, and Docusign. Onthen is built by the team behind Onthen (no third-party vendor).
Key Features
- White-label branding (including emails) — Every customer interaction from the invite email to the task page displays your logo, brand colours, and domain. Emails are also branded.
- HubSpot integration — Create onboarding plans from inside HubSpot, add timeline events when tasks or plans change, sync form responses to contact properties, and attach photos or documents to the CRM record.
- Auto-chase reminders — Onthen automatically sends follow-up emails to customers when tasks are overdue, so you never need to send a “checking in” email again.
- Task actions — Each task can require the customer to complete a specific action: fill a form, upload documents, take photos, sign a Docusign template, or schedule a Calendly meeting. Action completion is required before the task is marked done.
- No passwords for customers — Customers access their plan via a unique link; there is no account creation or login required on their side.
- Advanced due dates and sequencing — Set calculated due dates (e.g., “14 days after the previous task”) or require tasks to be completed in a fixed order. Internal team tasks and a dashboard with saved views are also available.
- Post-onboarding feedback — After the plan completes, Onthen asks the customer to rate their onboarding experience, giving you data to improve processes and service quality.
